Advancement Associate

Position Title : Advancement Associate
Department Unit : Development 
Reports to : Chief Advancement Officer 
FLSA : Non-exempt

Essential Functions:
Assist Chief Advancement Officer in management of fundraising activities and donor cultivation

Manage all aspects of department databases, including donor database and event/auction database


Donor Database Management

  • Manage all aspects of donor database
  • Prepare and mail donor acknowledgement letters
  • Generate reports that track and compare annual fundraising efforts
  • Coordinate department mailings and e-blasts


  • Assist in planning and executing fundraising and cultivation events
  • Secure sponsorships, tickets, advertisers, contributions and auction items
  • Create related materials
  • Manage auction, including tracking and displaying auction items and generating thank you letters


Web Content

  • Suggest and update content for department web pages

 Volunteer Management

  • Manage volunteer application process
  • Track volunteer participation


  • Maintain development files
  • Provide administrative support to Chief Advancement Officer
  • Attend event and department meetings, event committee meetings and training as assigned
