Position Title: Facilities Manager
Department Unit: Operations
Reports to: Chief Operating Officer
Essential Functions:
Effectively lead, manage and direct all aspects of facilities operations, technical support (provided by vendor), maintenance and safety.
Scope:
Lead and coach two Operations/Maintenance Assistants and oversee contractors needed for maintenance, repairs and upkeep of 2 buildings (one is an apartment building, with 12 apartment units inside) and grounds. Facilitate technical support provided by vendor to ensure effective IT support is provided to staff. Maintain a safe, clean working environment for all staff, program participants, and visitors. Ensure all areas are welcoming. Responsible for oversight of daily cleaning and upkeep, preventive maintenance, and small repairs.
Job Criteria
- Effectively lead, manage and direct all aspects of organization-wide facilities operation, technical support (provided by vendor), and maintenance and safety management.
- Maintain Laurel House Resource Center and the Supportive Housing apartment building in a safe, clean and secure condition. Ensure all areas are welcoming.
- Recruit, coach, develop and motivate direct and indirect staff, holding them accountable for their responsibilities and raising the bar for all staff performance and dedication. Set clear targets and measurements for staff and contractor performance.
- Continually improve quality, consistency and sanitary conditions in cleaning standards for Laurel House Resource Center and apartment building units.
- Identify and recommend cost savings initiatives (e.g., reduction in utility costs; ‘green’ programs) and productivity improvements in operations and facility management.
- Recommend and implement training and in-services for your team (e.g. OSHA training) that will improve operations, safety and regulatory compliance. Identify opportunities for your own training and professional development.
- Actively participate in program management discussions, sharing and recommending best practices and improvements beyond your own functional reporting area of responsibility.
- Oversee fleet records and maintenance to ensure readiness for use by staff in the community.
- Ensure exteriors of buildings and grounds are clean and well maintained.
- Respond to maintenance emergencies in a timely fashion; your team will facilitate response to emergency calls of apartment tenants.
- Practice safe working conditions under Occupational Safety and Health Administration guidelines and ensure compliance with other relevant regulatory agencies (e.g., Board of Health).
- Practice safe chemical handling as prescribed in Material Safety and Data Sheets.
- Conduct monthly check for fire alarms systems in both buildings and periodic fire drills.
- Manager of Operations and Maintenance Assistants; oversight of contractors and vendors.
- Excellent interpersonal and customer service skills.
- Supervisory or management experience in directing and coaching employees and/or overseeing contractors.
- For purposes of oversight of contractors, basic knowledge of plumbing, lock repair, air conditioning, painting, carpentry, drywall repair, or electrical.
- For purposes of oversight of contractors, phone and computer literacy – basic understanding of software and hardware technology.
- Proficiency in use of Microsoft Office Suite’s Outlook (email), Word and Excel.
- Associate’s or Bachelor’s degree; Trade licensure (e.g., HVAC, plumbing), a plus.
- Minimum of 5 years facilities’ related experience.
- Must successfully pass the pre-employment drug test and background check.
- Must possess a valid driver’s license and have a safe driving record.
- Ability to prioritize and handle multiple projects simultaneously.
- Ability to communicate well in both oral and written reports.
